Office Relocation Checklist — A Complete Guide for UK Businesses
An office relocation involves far more moving parts than a house move. You're coordinating IT infrastructure, lease agreements, staff, clients and operational continuity — all while keeping the business running. Start planning early and work to a checklist so nothing falls through the gap.
3–6 months before
- Review your current lease — notice periods are typically 3–6 months
- Define your new space requirements: desks, meeting rooms, storage, parking
- Appoint an internal relocation coordinator
- Shortlist and survey new premises
- Get removal quotes — a specialist commercial removals team is worth it for IT equipment and sensitive files
2–3 months before
- Sign new lease and confirm move date
- Notify clients, suppliers and business contacts of your new address
- Update your website, Google Business Profile and all directories
- Brief your IT team on cabling, server relocation and broadband at the new site
- Review contents insurance for the move period and new premises
4–6 weeks before
- Confirm removal company booking and access arrangements at both sites
- Order any new furniture or equipment needed for the new office
- Create a floor plan for the new space — label each zone
- Archive and declutter: shred documents you no longer need, dispose of old equipment securely
- Notify HMRC, Companies House and your bank of your new business address
1–2 weeks before
- Label all furniture and equipment by zone/destination desk
- Back up all IT systems and servers
- Disconnect non-essential equipment ready for packing
- Confirm parking suspensions or loading bays at both sites
- Brief all staff on the move schedule and their responsibilities
Moving day
- Have a coordinator on site at both the old and new office
- Photograph the old office before leaving — for dilapidations reference
- Ensure IT is connected and tested before staff arrive at the new site
- Do a final sweep of all cupboards, server rooms and storage areas
- Hand over keys and document the condition of the old premises
After the move
- Update all online directories and listings
- Set up call forwarding on your old number if it's changing
- Send a new-address announcement to your client list
- Check all IT systems are fully operational
- Complete any dilapidations schedule with your outgoing landlord
